With input management, the digital round-robin process at cablex AG is now complete

There are still good reasons to send contracts by post. However, we are not discussing those reasons here, but rather the challenges involved in managing the return of contracts – essentially, digitising the analogue postal route on the return journey.

At cablex AG, we have tackled precisely this challenge in collaboration with our implementation partner, CENT Systems.

The basis for successful input management is that outgoing contracts are provided with a barcode containing precisely the information required for unique identification and automatic return to the source system.

However, in addition to this automatic return, the validation of the content of the returned contracts is also of central importance. Validation is carried out automatically and AI-based by CENT Systems’ high-performance scanning centre. DocGenie® takes the scanned contract, together with the results of various validation criteria, and transfers everything to cablex AG’s customer system (ServiceNow).

Contracts that have passed all validation criteria are not only archived but also marked as «completed» with the correct status. No manual action is required.

If at least one validation criterion fails, the contract is still processed but flagged with an automatic notification to the account manager. This ensures that the busy account manager can focus solely on the relevant cases.

The validation criteria can be expanded at any time without the need to modify the interface.

The project was completed in a record time of just over three months.
